Key Responsibilities:

  • Coordinate and manage the schedules of senior leaders, scheduling meetings, appointments, and travel arrangements.
  • Serve as a primary point of contact between senior leadership and internal/external stakeholders.
  • Draft, proofread, and edit correspondence, emails, reports, and other communications on behalf of senior leaders.
  • Organize and prepare materials for meetings, including agendas, presentations, and reports.
  • Maintain organized and up-to-date files, records, and databases.
  • Oversee the day-to-day operations of senior leaders' offices, ensuring a well-maintained and efficient workspace.
  • Anticipate and address the needs of senior leadership proactively.
  • Identify and resolve issues that may arise in the daily operations of senior leaders.
  • Work closely with other executive assistants and team members to ensure seamless coordination and communication.
  • Assist in cross-functional projects and initiatives as required.
  • Handle sensitive information with discretion and maintain a high level of confidentiality.
  • Uphold professional and ethical standards in all interactions.

Qualifications:

  • Bachelor's degree or equivalent experience.
  • Proven experience as an executive assistant or in a similar role.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficient in office software and communication tools.
  • Ability to handle multiple tasks simultaneously and adapt to changing priorities.
  • Discretion and confidentiality in handling sensitive information.
  • Professionalism, poise, and the ability to interact effectively with executives, employees, and external contacts.
