Assistant Manager, Capital Projects and Facilities

The Assistant Manager for Capital Projects and Facilities plays a vital role in overseeing the physical infrastructure of the school, ensuring its functionality, safety, and aesthetic appeal. In addition to conducting regular assessments and preparing estimates, the Assistant Manager actively participate in the procurement process by reviewing contracts, tenders, and vendor selections.

Collaborate closely with administrative staff to coordinate facility maintenance activities, conduct periodic site visits, and ensure adherence to safety protocols and regulatory requirements. By maintaining clear communication channels with stakeholders and providing timely progress reports, contribute to the efficient management of construction projects and the effective utilization of resources.

Overall, the role is essential in supporting the school's mission by providing well-maintained and sustainable facilities that enhance the learning environment for all stakeholders.

Responsibilities include:

  • Conduct regular reviews and analysis of school buildings, making recommendations for improvements and supervising resultant actions when necessary.
  • Prepare estimates and specifications for the upkeep and maintenance of school facilities.
  • Periodically review Annual Maintenance Contract (AMC) documents for both hard and soft services, ensuring implementation accordingly.
  • Support administrative staff in facility maintenance through periodic visits and checklists.
  • Review all designs, specifications, documentation, tenders, and contracts related to construction projects.
  • Coordinate the invitation to tenders (ITT), negotiate with stakeholders, and finalize contracts.
  • Identify and develop a vendor database for strategic sourcing within specific geographic locations.
  • Anticipate potential issues and provide advance advice on decision-making, backed by necessary data.
  • Oversee construction projects for AKES, I, stationed on-site as needed, either periodically or until project completion.
  • Supervise and maintain quality and specification control of construction activities on-site.
  • Ensure that safety best practices are adhered to during all site activities.
  • Submit progress reports on construction activities, including funding requirements and payment approvals, in a timely manner.
  • Immediately report any events likely to affect project execution.
  • Review payment certificates for the value of contractor work completed, in line with construction contracts.
  • Regularly review the construction schedule and provide monthly reports, clearly outlining the critical path of construction works to ensure adherence to time and budget constraints.
  • Ensure that project materials meet acceptable quality and standard criteria.
  • Cultivate and maintain positive working relationships with consultants, contractors, institutions, and communities.
