Role: ERP COORDINATOR - To provide quality assistance to Registrar Office and ensure student data integrity.
Key Performance Areas/Responsibilities:
KPA 1
- Course Management - Create, organize, and manage course content within the ERP system - Ensure courses are properly categorized, tagged, and accessible to students and instructors - Coordinate with faculty to upload course materials, assignments, and assessments - Monitor course activity and performance metrics to identify areas for improvement.
KPA 2
- Student Management - Manage student enrolment, profiles, and demographic data within the ERP system - Ensure accurate student records, including academic history, program details, and contact information - Facilitate student performance tracking by updating records with grades, attendance, and other relevant data.
KPA 3
- Gradebook Management - Maintain a centralized gradebook within the ERP system for easy access by instructors and students - Record and update student grades, assessment results, and historical data - Generate reports and analytics on student performance trends and outcomes.
KPA 4
- Stakeholder Feedback and Notification Management - Design and implement feedback forms within the ERP system for collecting stakeholder input - Analyze feedback data to identify areas for improvement in courses, programs, and services - Facilitate communication of feedback results to relevant stakeholders for action - Configure and manage email, messaging, and notification systems within the ERP platform - Ensure timely communication between students, faculty, and administrators - Customize notification settings based on user preferences and system requirements.
Competencies Required -
- Develop and maintain analytics dashboards within the ERP system to track engagement, progress, and performance metrics.
- Generate reports on student enrollment trends, course participation, and academic outcomes.
- Provide insights and recommendations based on data analysis to support decision-making.
- Customize ERP modules and functionalities to align with university requirements and workflows.
- Collaborate with stakeholders to gather customization requests and prioritize development efforts.
- Test and deploy customizations while ensuring system integrity and security.
- Coordinate with IQAC team to Implement new integrations to support ranking submissions, accreditation processes, and regulatory compliance.
- Monitor integration workflows and troubleshoot any issues or errors.
- Student Enrollment, Course Grid Management, Attendance, Exam Management, Financial Integration, Accreditation Database.
- Oversee student enrolment processes, including course registration, add/drop requests, and fee payment integration.
- Manage course scheduling and allocation of resources using the ERP system's course grid functionality.
- Monitor attendance records and facilitate exam scheduling and administration within the ERP platform.
- Integrate financial systems with ERP for tuition payments, scholarships, and budget tracking.
- Maintain accreditation database and ensure accurate data representation for reporting and compliance.
- Regularly update the ERP system with the list of active and inactive students based on enrolment status.
- Ensure accurate student records and access permissions for current and former students.
- Use ERP tools to communicate with students and faculty regarding issues, updates, and announcements.
- Provide support and training to users on ERP functionality and best practices.
- Collaborate with our internal ERP support team to address technical issues and ensure smooth operation of the ERP system.
Experience and Qualifications:
Must be extremely methodical and meticulous. Minimum of Bachelor’s degree Undergraduate qualification.
At least 5 years ERP administration experience, preferable in Higher Education
