The Executive Assistant for College/University provides high-level administrative support to the senior executives and leaders within the institution. This role requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The Executive Assistant must maintain a high level of professionalism, confidentiality, and discretion in all interactions and communications.

Responsibilities:

  • Manage and maintain the executive's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Coordinate and prepare materials for meetings, conferences, and presentations.
  • Draft and edit correspondence, reports, and other documents.
  • Screen and prioritize incoming calls, emails, and other communications.
  • Prepare and distribute meeting agendas, minutes, and follow-up actions.
  • Conduct research and compile data to support decision-making processes.
  • Coordinate and oversee special projects and initiatives as assigned.
  • Manage and maintain confidential files and records.
  • Assist with budget preparation and monitoring.
  • Coordinate and facilitate communication between the executive and internal/external stakeholders.
  • Provide administrative support to other departments and staff as needed.

Requirements:

  • Proven experience as an executive assistant or similar role.
  • Experience into the education industry preferred.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Ability to handle sensitive and confidential information with integrity.
  • Ability to work independently and prioritize tasks effectively.
  • Attention to detail and accuracy.
  • Ability to adapt to changing priorities and work well under pressure.
  • Strong problem-solving and decision-making skills.
  • Bachelor's degree in a relevant field (preferred).
