Job Description

Role: IP Administrator

Experience Level: Fresher (Max 1 year of exp only)

POSITION SUMMARY

The IP Administrator I supports the IP Managers and IP Administrator (II and Sr.) with responsibilities, tasks and activities of the Intellectual Property (IP) Group. The IP Group is responsible for management and protection of ETS intellectual property of ETS and its clients through timely and accurate performance of duties such as ETS registrations and renewals (copyrights, trademarks and domains), procurement of permissions, licensing, enforcement efforts such as trademark misuse, copyright and trademark infringement, misrepresentations, phishing and false claims and related financial matters. Independently obtains first time and renewal permission to use third party copyrighted materials, processes invoice, manages IP related databases and provides status reports for review by upper-level IP Specialists and IP Managers.

PRIMARY RESPONSIBILITIES

  • Independently obtains permissions to use third party copyrighted materials, negotiates license fees, prepares agreements and related correspondence.
  • Processes invoices, coordinates payments, maintains payment files and manages related invoice databases.
  • Responds to requests for ETS materials and issues license agreements (copyright and/or trademark) when appropriate.
  • Represents ETS to third party publishing companies and individual copyright owners, both in the U.S. and abroad.
  • Manages IP databases and files for the IP Group and provides reports for review by upper-level IP Administrators and IP Managers.
  • Monitors and conducts surveillance of third-party sites and social media for issues (misuse, infringement, etc.) and responsible for communicating directly with website owners and social media platforms (drafting letters, submitting takedown notices, and tracking responses) to assist in bringing websites and submitting takedown notices, into compliance with the ETS Trademark Informational Use Guidelines.
  • Comfortable navigating data management and IP management systems and interfacing with vendors and providers.
  • Identifies work process improvements and/or cost saving measures and implement as approved by IP Manager.
  • Protects ETS intellectual property by supporting IP litigation.
  • Adheres to ethical standards and comply with the laws and regulations applicable to the job function.

KNOWLEDGE/SKILLS

  • Comfortable when dealing with businesses and currency in foreign countries.
  • Stays abreast of ETS products/services in order to provide necessary protection with regards to intellectual property registration, renewals and permission use.
  • Must understand the infrastructure of products to make certain all components, such as source codes, are appropriately protected.
  • Dedicated to meeting the expectations and requirements of internal and external clients; establishes and maintains effective relationships with clients and gains their trust and respect.
  • Knowledge of ETS processes, especially assessment and product development in order to determine the most efficient point to begin the copyright and/or permission processes to avoid delays or infringements. Provide knowledgeable advice on copyright law applicable to copyright permission issues.
  • Physically protects the IP of ETS and its clients when in possession during processing.
  • Knowledge of the fundamental aspects of technology-based products to ensure appropriate protection of source codes and other IP attributes.
  • Administrative tasks as necessary.
  • Demonstrates superior oral and written communication skills appropriate for interaction with all levels of management, internal clients, and coworkers, promoting accuracy, efficiency, objectivity, fairness, courtesy, and ETS mission and values.
  • Detail oriented, ability to multi-task, excellent oral and written communication skills, analytical and problem-solving skills.
  • Well-developed research and organizational skills.
  • Basic knowledge of intellectual property and the protection it requires.
  • Excellent interpersonal skills, adaptability, and the ability to work well under minimal supervision.
  • Experience using Microsoft teams, Microsoft Office including Word, Excel, Access and Outlook.

EDUCATION AND EXPERIENCE

Required:

  • Associate Degree, High School Diploma/GED or equivalent combination of education and experience.

Preferred:

  • Paralegal or IP related certification optional.
  • Minimum of three (3) years’ experience in an international corporate setting with specific experience in copyrights, trademarks and/or domains.
