Job Description

Stanford University Global LLC is seeking qualified candidates for the Stanford Institute for Innovation for Developing Economies (Seed) Regional Manager, Finance Operations position in Chennai, India.

Building on Stanford's decades-long history of educating innovators in Silicon Valley, Stanford Institute for Innovation in Developing Economies (Stanford Seed) brings innovative mindsets and practical business training to entrepreneurs in South Asia.

The Regional Manager, Finance Operations is responsible for supporting program execution and overall administration at the Stanford Seed South Asia office. The successful candidate will work directly with the Regional Director, Program and Network Managers to support the Seed Transformation Program, Seed Spark, Seed Transformation Network Programs and other activities.

CORE DUTIES

Financial Management (70%)

  • Develop complex budget and forecasting scenarios, long-range planning and analyses for financial reporting and presentations; design and run ad hoc reports
  • Perform highly analytical, complex finance and control functions; multi-dimensional and complex reconciliations and related analysis; prepare or review and approve transactions.
  • Identify and resolve unique issues with substantial significance; recognize exceptions, and conduct in-depth analysis using advanced technical knowledge and experience. Recommend and develop solutions that may require policy changes or the development of new processes; maintain broader organizational and university perspective in decision making.
  • Maintain financial records, accounting documentation and prepare various financial reports as required by Stanford policies and local laws.
  • Work in Stanford University (SU) based Oracle and local accounting and banking systems to process payments for vendors.
  • Coordinate with Stanford financial support functions to prepare and file monthly and yearly tax declarations with local authorities, liaise with local tax authorities (as required) and external consultants to ensure 100% compliance with all relevant laws including but not limited to Income tax, provident fund, GST, professional tax etc.
  • Manage and process staff reimbursements in alignment with the Stanford and local policies.
  • Coordinate with the Regional Director and Seed Finance to develop the annual budget plan. Monitor and report variances to the leadership team on an ongoing basis.
  • Educate the local team on the existing and new SU policies, contracting procedures etc and serve as a key point of contact for the local team on budget related queries, contracting and policy questions and clarifications.
  • Forecast cash flow requirements in advance of every quarter, coordinate the fund transfer process etc. with SU Global LLC and ensure adequate funds at all times to manage on ground operations.
  • Assist with annual external and internal audits.
  • Serve as petty cash and/or corporate credit card custodian account.
  • Liaise with the local legal firm and other external consultants and lead the visa application process, on ground compliance processes for incoming coaches and ensure 100% compliance with the immigration laws etc at all times.
  • Manage the claim processes, housing arrangements, income tax filings and other compliances for coaches working in South Asia.
  • Lead the negotiation, approval and contracting processes for various Stanford South Asia events including Conclave, information sessions, network events etc. ensuring alignment with the SU budget and contracting guidance. Provide administrative support as needed for the events
  • Lead/ Participate in the SU new policies drafting and training process as needed and review/ update of existing staff policies, accounting handbook, HR handbook etc. in regular time intervals.
  • Lead and execute unit or cross functional projects and teams, make recommendations regarding projects and programs affecting operational effectiveness, policies, or processes.
  • Participate in special projects as determined by the company.

Human Resources Management Support (20%)

  • Ensure proper payroll administration, with the assistance of appropriate external entities and or vendors.
  • Accountable for administration of processes for staff related to hiring, onboarding, leave administration, immigration and offboarding in consultation with Global HR.
  • Assist the Regional Director and the Global HR to help:
  • Design and implement engagement programs that:
  • Foster a strong culture and team camaraderie
  • Promote employee well-being, and support the holistic growth of a high performing team
  • Establish effective communication channels to keep the team informed about engagement initiatives, organizational updates, and opportunities for involvement.
  • Gather and analyze feedback to continually enhance engagement strategies and address evolving needs.
  • Interact and serve as the primary contact to employees regarding enrolling in country benefits, including wellness programs.
  • Work with benefits broker(s) to ensure the proper float is available as needed for new hires or benefits changes.
  • Coordinate onsite visits with Sannam consultant, schedule POSH and other compliance training.
  • Serve as a resource on global human resources issues, effectively communicate policies, resources processes and procedures. Resolve basic issues as appropriate. Refer other issues to the appropriate person for resolution.

Administrative Support (10%)

  • Oversee and monitor the work of F&A Associate and provide adequate support at all times to ensure optimum performance.
  • Organize and/or participate in outreach activities that may include developing communications and training, planning/promoting events and/or conferences.
  • Represent the program or function to external/internal stakeholders and constituencies.
  • Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing event within budget.

These duties may be adjusted as needed to suit the business needs of the Seed South Asia Program.
